YOUR SWIM TEAM NEEDS YOUR HELP!! Our governing documents require us to have an Annual meeting each year to elect new officers. We have at least two board members who are not running for reelection this year, creating vacancies on the board.Some of you responded that you were interested in positions in your survey responses, but all of the responses were anonymous; which always gives us honest, helpful feedback; only now we can’t reach out to you. If you are interested in a board position, official position, etc, please respond to this email by Sunday October 28, 2018. Board elections will be at the Annual meeting coming up, so we’d love to speak with you soon.A description of each of the board positions is listed below.
1) President - Responsible for all aspects of swim team operations & vision, including but not limited to:
- Ensuring the board meets its fiscal and planning responsibilities by scheduling and chairing meetings, preparing and disseminating meeting agendas prior to meetings, and ensuring tasks assigned to other board members are completed.
- Maintaining a positive relationship with Newington Forest HOA regarding pool usage, storage and facilities. Establishing and signing contracts for the use of the facilities to ensure onsite practice schedules and sufficient lane rental.
- Guiding vision of swim team, & guiding board members in the execution of their duties.
2) Vice President – The primary responsibility of the VP to assist the President as needed. In addition:
- Recruiting: Examples include but not limited to: yard signage, flyer distribution, sandwich boards in community, HOA Newsletters, posters at pool & community center, etc.
- Registration: Fully responsible for the announcement of, and execution of the team’s swimmer registration. This includes the registration of swimmers both electronically, and at pre-registration and registration events. Works with Website manager on setting up electronic registration.
- Volunteer Points System: Prior to each season, reevaluating volunteer points system with the board. May need to be adjusted annually due to number of member families, etc.
- Winter Swim – Work with Head Coach, Team Reps and Board on winter spring program
- Team Photos – Coordinate photo session with photographer and Social Coordinator
3) Treasurer – Primarily responsible for the accurate bookkeeping of all NFST accounts, payments of monies owed to vendors, coaches, and team members for team related items and fees, and receipt of funds from registrations, fundraising efforts, and donations.
4) Secretary - In addition to the standard board secretary-oriented duties of maintaining minutes and moderating all meetings following of standard board meeting protocol, the Secretary receives and disseminates all information that needs to be passed along to the team members and parents.
5) Team Reps: The Team Rep(s) are responsible to the governing board for the conduct of the swim team program in its entirety. The Team Rep helps to prepare the swim team budget, manage coaches, recruit parents of swimmers for jobs in support of the swim team program, and represent the swim team to NVSL. The Team Rep serves as the primary liaison between coaching staff and parents throughout the swim season.
6) Social Chair: Responsible for successful execution of all social functions for Swim Team across the swim season, including but not limited to:
- Kick-off BBQ
- Pep rallies
- Spaghetti Dinner
- Progressive Dinner
- Swim Team breakfasts
- End of year party
- Other Social Activities (bowling, Flight, mini golf, movies, etc.)
- Swimmer mentoring program
7) Fundraising Chair: Responsible for all income generating activities. The Fundraising Chair shall oversee the following fundraising activities, either personally or to delegate the responsibility to one or more volunteers, as needed:
- Sponsorship Coordinator: In consultation with the Fundraising Chair, develop sponsorship level benefits, solicit sponsors, fulfill team obligations to sponsors per sponsorship level agreement, and host sponsors at team events.
- Swim-A-Thon Coordinator: In consultation with Fundraising Chair, schedule the annual Swim-a-thon, contract with Swimming USA, create prize levels, organize volunteers the day of the event, collect pledged funds from swimmers, acquire and deliver prizes, and arrange appropriate recognition at end of year party.
- Percent-of-Sales Coordinator: In consultation with Fundraising Chair,source, schedule, contract, advertise, and collect donation from area businesses to host “dining for dollar” or percent-of-sales events, such as restaurants, Amazon Smile, or team photographer.
- Spirit Wear Coordinator: In consultation with Fundraising Chair, select vendor, apparel design, order management, and delivery of spiritwear apparel, team swimsuit, and swim caps.
- Concessions Coordinator: In consultation with Fundraising Chair, acquire, prepare, price, and sale of refreshments at home meets and the soda machine.
- In addition to the foregoing fundraising activities, the Fundraising Chair may create additional fundraising activities, as needed
